The Cost of Staying on New Hotel

The current PMS creates measurable financial risk, wastes labour hours every week, and cannot scale to support Luxfair's multi-property growth plan.

📊

Accounting Figures Don't Match

PMS output and SFM records require manual reconciliation. Discrepancies consume hours every week and undermine confidence in financial reporting.

📅

Revenue Allocated to Wrong Period

Reservations spanning two calendar months are not split day-by-day. Revenue lands in the wrong period, distorting the P&L and complicating VAT returns.

💳

OTA Deferred Payments Mishandled

Booking.com pays weekly for the prior week's departures. New Hotel cannot model deferred settlement — it assumes same-day payment, which is factually incorrect and creates debtor discrepancies.

📋

No Auditor-Ready Breakdown

When auditors ask "what makes up this ledger balance?", a guest-by-guest breakdown of the Guest Ledger and City Ledger cannot be produced from New Hotel.

⏱️

~45 Minutes of Manual Work Daily

Staff extract data from the PMS, populate an Excel template, and manually upload it to SFM — every single day. This totals approximately 275 hours per year in labour.

🏨

Cannot Scale to Multiple Properties

With new hotels in the pipeline, the manual process would be duplicated per property — multiplying labour cost, risk, and audit complexity.

Cloudbeds + Born Digital vs New Hotel (Status Quo)

A side-by-side comparison of the proposed solution against the current system, evaluated on the criteria that matter to Luxfair's operations, finance, and growth.

Criterion Cloudbeds + Born Digital New Hotel (Current)
OTA Channel Integrations 300+ channels including Booking.com, Expedia, Airbnb, HRS, Agoda, and hundreds more. Native channel manager included. Limited channel connectivity. Booking engine available but far fewer OTA integrations.
SFM Accounting Integration Fully automated. Daily sync via Cloudbeds Accounting API + SFM Import Gateway. Zero manual data entry. Real-time webhooks for payment events. Manual. Staff export data, fill an Excel template, and upload to SFM daily. Error-prone and labour-intensive (~275 hours/year).
OTA Deferred Payment Handling Supports complex settlement models. Booking.com weekly payments posted as deferred debtor entries until settled. Full Guest Ledger / City Ledger routing. Cannot model deferred payments. Assumes all guests pay on checkout. Creates inaccurate accounting records.
Month-Spanning Revenue Split Daily rate data from API. Revenue recognised on a per-night basis, correctly allocated to the calendar month each night falls in. Revenue not split by night. A reservation overlapping two months is posted as a lump sum, distorting monthly P&L.
Audit-Ready Ledger Reports On-demand reconciliation reports showing the exact guest-level composition of any ledger balance at any date. VAT and Eco-Tax breakdown included. Cannot produce a breakdown of ledger balances by guest. Auditors must rely on manual reconstruction.
API & Integration Capability 50+ RESTful API endpoints. Dedicated Accounting API with immutable transaction records. Webhooks for real-time notifications. Full developer portal. No documented public API. No webhook capability. Third-party integration requires manual file exchange.
Guest Experience Online booking engine, digital guest journey, upselling, reputation management, mobile access, messaging — all native. Basic online booking engine. Limited guest experience tools. No native reputation or upselling features.
AI & Intelligence Cloudbeds Signals — hospitality's first AI model for demand forecasting, pricing intelligence, and operational insights. No AI capabilities. No dynamic pricing intelligence. No demand forecasting.
Multi-Property Scalability Single organisational account managing all properties. One integration template replicated per new hotel with minimal effort. Portfolio-level reporting. Each new property requires a separate manual workflow. Labour cost and audit risk multiply linearly.
Industry Recognition Top-rated PMS, HMS & Channel Manager 2021–2026 (Hotel Tech Report). World's Best Hotel PMS 2022 (World Travel Awards). 1,390+ verified reviews, 4.5/5 average. Trusted in 150+ countries. Regional product distributed by Progressive Information Systems in Malta. Limited to a small number of local installations. No independent industry awards or reviews on major hospitality platforms.
Long-Term Vendor Viability 650+ employees globally. Deloitte Fast 500 (2024). Continuous investment in R&D, AI, and API expansion. Annual user conference. Smaller vendor. Local support via Progressive. Limited product roadmap visibility.

Summary: The Case for Cloudbeds + Born Digital

The status quo is not cost-free — it costs approximately 275 hours of labour per year, carries accounting accuracy risk, and cannot scale. Cloudbeds eliminates manual data entry entirely, delivers auditor-ready financial reporting, connects to 300+ distribution channels, and provides AI-powered revenue intelligence. Born Digital's integration middleware — proven across approximately ten Cloudbeds deployments and with existing SFM integrations for clients including MICAS — provides the automated bridge between the two systems. The combined solution is an investment that pays for itself within the first 12 months through labour savings alone.

How the Integration Works

A cloud-hosted middleware service connects Cloudbeds and SFM, automating every data flow currently handled manually.

☁️ Cloudbeds PMS ⚙️ Born Digital Middleware 📒 SFM (Shireburn)
📥

Cloudbeds Accounting API

Pulls immutable transactional data daily — room revenue, taxes, payments, adjustments, and deposits — with full audit trail and custom GL code mapping.

🔔

Real-Time Webhooks

Cloudbeds fires notifications on reservation, check-in/out, and payment events. The middleware listens and queues transactions for processing.

🔄

Transformation Engine

Maps Cloudbeds transaction codes to SFM nominal accounts, VAT codes, and ledger categories. Handles month-spanning splits, deferred OTA settlement, and multi-currency.

👤

Client/Entity Sync

Guest master data and corporate accounts sync to SFM via the SBS Web API — creating and updating client records automatically.

📤

SFM Import Gateway

Transactional data delivered in SFM's Import Gateway format — automatically and daily. No manual Excel uploads.

📊

Reconciliation Reports

On-demand reports showing guest-level composition of Guest Ledger and City Ledger balances — for auditors, VAT returns, and management oversight.

  • Daily revenue by night: Reservations spanning months are split day-by-day into the correct accounting period.
  • Guest Ledger vs City Ledger: Reservation source (OTA, direct, corporate invoice) determines automatic routing to the correct nominal account in SFM.
  • Booking.com weekly settlement: Checkout posts a Guest Ledger debit. When the weekly payment arrives, the receipt is posted and allocated automatically.
  • Other OTAs and direct bookings: Credit card payments on checkout are posted as same-day receipts.
  • VAT and Eco-Tax: Tax transactions from Cloudbeds are mapped to the corresponding SFM VAT codes, with full breakdown reports.
  • Auditor-ready composition: At any point, a report can be generated showing every guest and transaction making up any ledger balance.
