A board-level investment case for modernising the Spinola Hotel's property management and accounting systems — purpose-built to scale across Luxfair Group's growing portfolio.
The Problem
The current PMS creates measurable financial risk, wastes labour hours every week, and cannot scale to support Luxfair's multi-property growth plan.
PMS output and SFM records require manual reconciliation. Discrepancies consume hours every week and undermine confidence in financial reporting.
Reservations spanning two calendar months are not split day-by-day. Revenue lands in the wrong period, distorting the P&L and complicating VAT returns.
Booking.com pays weekly for the prior week's departures. New Hotel cannot model deferred settlement — it assumes same-day payment, which is factually incorrect and creates debtor discrepancies.
When auditors ask "what makes up this ledger balance?", a guest-by-guest breakdown of the Guest Ledger and City Ledger cannot be produced from New Hotel.
Staff extract data from the PMS, populate an Excel template, and manually upload it to SFM — every single day. This totals approximately 275 hours per year in labour.
With new hotels in the pipeline, the manual process would be duplicated per property — multiplying labour cost, risk, and audit complexity.

A cloud-hosted middleware service connects Cloudbeds and SFM, automating every data flow currently handled manually.
Pulls immutable transactional data daily — room revenue, taxes, payments, adjustments, and deposits — with full audit trail and custom GL code mapping.
Cloudbeds fires notifications on reservation, check-in/out, and payment events. The middleware listens and queues transactions for processing.
Maps Cloudbeds transaction codes to SFM nominal accounts, VAT codes, and ledger categories. Handles month-spanning splits, deferred OTA settlement, and multi-currency.
Guest master data and corporate accounts sync to SFM via the SBS Web API — creating and updating client records automatically.
Transactional data delivered in SFM's Import Gateway format — automatically and daily. No manual Excel uploads.

Payable in 4 milestone instalments: 25% on sign-off (€987.50), then 25% at each of the three delivery milestones.
Annual billing: €2,388/year €2,148/year. Four-year partnership commitment (saving €240/year vs standard rate).
All prices exclude VAT. Cloudbeds subscription fees are billed separately by Cloudbeds and are not included above.
Return on Investment
A conservative analysis of the direct labour cost savings from eliminating the daily manual PMS-to-SFM workflow.
This calculation uses a conservative €12/hr loaded labour cost and accounts only for the direct daily data-entry task. It does not include the value of: eliminated reconciliation errors, reduced audit preparation time, faster month-end close, reduced risk of VAT discrepancies, or the operational value of accurate real-time financial data. At a more realistic €15/hr loaded cost, the 4-year labour saving rises to €16,500 — generating a net benefit of nearly €4,000.
From Year 2 onwards, the integration generates a positive return every year — before accounting for any qualitative benefits.
